Your Data Is Not Missing. It Is Scattered.

Every grant-funded organization I talk to believes it has a data problem. School districts, county agencies, public health departments, nonprofits running federal programs. They all say the same thing. We don't have good data.

They are almost always wrong. They have plenty of data. What they have is a location problem.

The financial data lives in an ERP built decades ago. The program data lives in a case management system, or a spreadsheet, or someone's head. The grant reporting lives in a folder of PDFs named things like FINAL_v3_actualfinal. The compliance history lives with a person who is retiring in June.

Each system is fine on its own. The damage happens in the gaps between them. When a funder asks what a program accomplished, someone spends three weeks reassembling an answer that should take three minutes. When an audit finding comes in, nobody remembers the justification from two years ago, so the organization relitigates a decision it already made. When a new grant opportunity appears, nobody can quickly say whether the organization is even eligible, because eligibility depends on facts spread across four systems.

The instinct is to fix this with another system. A dashboard, a data warehouse, a big migration project. Most of these projects fail, and they fail for a predictable reason. They try to move the data instead of connecting it.

The better model is a layer that sits on top of what you already run. One that reads from your ERP, your grants records, your program data, and holds it all in a shared memory. Your fund codes stay your fund codes. Your systems stay your systems. What changes is that questions which used to take weeks now take seconds, because for the first time everything is in one place that can actually think.

Fragmented data is not a fact of life for public organizations. It is just the default. Defaults can be changed.
